Who owns the content and media?
Confirm that your publication can access and export its articles, images, captions, authors, categories, tags, metadata, and redirect records. Ask which export formats are available, how often data can be exported, and whether any content types or integrations require separate handling.
Document data access and permitted use in the service agreement. Include who can request an export, how access is authenticated, how long it takes, and what happens to retained copies when a service ends.
Who handles updates, security, and backups?
Ask which party applies application and infrastructure updates, monitors service health, manages vulnerabilities, stores backups, and tests restoration. Get the responsibilities in writing, including what is included in the recurring service and what requires a separate scope.
For a news operation, clarify how production incidents are reported, who receives escalation, what information the newsroom should provide, and how updates are communicated during recovery. Avoid relying on verbal expectations for a business-critical publishing service.
What does support actually include?
Confirm support channels, operating hours, response targets, languages, training, implementation assistance, and the process for requesting changes. Ask how issues are prioritized when publishing is blocked, how work is documented, and who approves production changes.
Separate response time from resolution time. A written service description should state what happens when an issue depends on a third party, a client-side configuration, or a custom integration.
Can you migrate later without losing important records?
Ask how a future migration would preserve URL paths, redirects, bylines, dates, media credits, canonical URLs, and internal links. Clarify which exports and transition assistance are included, how the publisher can request them, and what fees or notice periods may apply.
Keep a copy of the agreed data model, domain and DNS access procedures, integration inventory, and support contacts. A practical exit plan protects continuity even if the publication never needs to use it.
