Record the source and permission
For each asset, record who supplied it, who created it, the licence or permission basis, permitted platforms, geographic limits, expiry, and required credit. A file in the media library is not automatically cleared for publication.
Keep permission evidence with the asset or a secure reference to it. Flag restrictions where editors choose images, and avoid vague labels such as “internet” or “press photo” that cannot establish usage rights.
Connect rights checks to publication
Require a credit and rights status for assets where policy demands it. Confirm that crops, overlays, captions, and reuse in social or newsletters remain within the grant.
If a licence expires or a rights holder requests removal, provide a clear route to locate every use and replace or remove the media. Record who approved the response and preserve an audit trail.
Train teams and review exceptions
Explain the difference between attribution and permission, and provide an escalation contact for unclear assets. Public availability does not by itself grant reuse rights.
Review repeated exceptions for training or workflow improvements. Rights management protects the publisher and the creators, while a structured CMS record reduces accidental reuse.
