Choose criteria that reflect newsroom work
Include assignment handoffs, drafts, editing, approval, scheduling, corrections, archives, language editions, and media. Ask reporters, editors, administrators, and commercial staff to identify their essential tasks.
Mark each item as required, important, or optional. A long list of equally weighted features can hide the few capabilities that determine whether the system fits.
Score evidence, not presentation
For each criterion, record what you saw in a live demo, what was described in writing, and what remains unverified. Use a consistent rating scale and add a note when a capability depends on custom work, hosting scope, or an integration.
Ask the provider to use your sample story and content structure. A feature slide is not evidence that the workflow works for your publication.
Include operational and commercial criteria
Score accessibility, mobile performance, technical SEO, security, account access, backups, support hours, migration, training, analytics, integrations, and exit assistance. Identify who owns each responsibility after launch.
Compare the total cost of ownership on a consistent term. Include internal staff effort, traffic or storage limits, implementation scope, and the process for future changes.
Make the final decision reviewable
Summarize the weighted score, unresolved questions, risks, and assumptions for the decision makers. Separate a true blocker from a preference and assign someone to confirm each open item.
Revisit the scorecard after implementation. It gives the newsroom a baseline for measuring whether the chosen CMS supports the work it was selected to improve.
